How To Quick Attach E-mails to ACT from Outlook

One of the new features in ACT! 2009 is the ability to quickly attach one or multiple e-mail messages in your Outlook mailbox to contacts in your ACT! database.

How To Use Quick Attach
  1. In Outlook, highlight an email message or group of messages.
  2. Click the Quick Attach icon on the Outlook toolbar.



  3. The following dialogue box will appear. Click OK to continue.



  4. The Attach To ACT! Contacts icon will appear on the system tray in the lower right corner of your screen. This icon will only be visible as long as there are messages that are being attached or messages that were not successfully attached that have not been resolved.



  5. Double-click the icon to bring up the Attach To ACT! Contacts screen. This screen has 3 tabs: Progress, Not Attached Messages, and Advanced.
    Note: You may also bring up this status screen if the icon is not in the system tray by clicking your Windows Start button, clicking Run, typing in
    "C:\Program Files\ACT\Act for Windows\Act.Outlook.Service.exe" -showqueue and clicking OK. If you have Act for Web installed, then use "Act for Web" in the command line instead of "Act for Windows". Be sure to include the quotes, spacing and all punctuation in the command.




    • Progress tab - View the status of messages that are being attached and view messages that have been successfully attached.



    • Not Attached Messages tab - See a list of messages that were not successfully attached. Messages not being attached can be due to the contact not being in the ACT!. database or the senders e-mail address not matching the one for that contact in the ACT! database.




      On this screen, you have options on how to handle the messages that were not successfully attached:
      • Retry Quick Attach - runs Quick Attach again to re-attempt to attach the messages.
      • Attach to ACT! Contact - manually attach to an ACT! contact
      • Attach to New ACT! Contact - create a new ACT! contact and attach the message to that contact
      • Remove - delete the message from the list

      You can also see the reason that a message did not successfully attach in the Status column for that message.
      Note: If the Status column is not visible, use the slide bar at the bottom of the window to slide it into view.



    • Advanced tab - View the log files (read-only) for successful and unsuccessful message attachments and control settings for how many days of logs you would like to retain



  6. To exit the Attach To ACT! Contacts Progress screen, click the Close button.
